๐ Job Title: CPA Assistant/Client Service Associate (Tax, Financial Services & Insurance Support Role โ Full-Time)
Location: Houston, TX 77064
In-Office position: Monday โ Friday, 9:00 AM โ 5:00 PM

Qualifications (Must-Haves)
Required:
Fluent in English โ confident speaking and writing professionally.
Excellent communication โ You must have experience in dealing with customers and handling difficult situation/customers respectfully.
Experience supporting ONE manager or director directly โ understands follow-through and ownership.
Fast learner with a proactive attitude โ takes initiative instead of waiting for instructions.
Highly organized & process-driven โ keeps track of moving pieces without dropping details.
Very detail-oriented & accurate, especially with numbers and documentation.
Comfortable with math and financial calculations โ not intimidated by numbers or formulas.
Competent with Microsoft Office (Excel, Outlook, Word) โ or able to learn quickly.
Applies careful judgment before taking action โ thoughtful, not impulsive.
Preferred / Bonus:
Familiarity with QuickBooks, basic bookkeeping, life insurance concepts.
Experience in tax, finance, legal, insurance, or healthcare admin.
Prior exposure to compliance or regulated documentation.
Key Responsibilities
1. Front Desk Responsibilities:
Answer daily inbound calls: screen prospects, set appointments, instruct prospects how to share files through our secure links, QuickBooks access, and send follow-up reminders (No outbound cold calls)
Conduct welcome calls, send engagement agreements, invoices, postcards to clients.
2. Supporting Role for our bookkeeper, clients
Update and organize client records, passwords, compliance files.
Support our bookkeepers
Assist our clients with their requests, be problem solver.
Be office admin and support with insurance renewals, property tax, phone/internet problem, grant applications, non-resident insurance licenses.
3. Financial & Retirement Plan Support for a CPA
Case documentation: Take meeting notes in Excel and send follow-up email to clients.
Life & Disability Insurance: Assist with applications, schedule paramed exams, request APS from doctors/clients.
401(k) Plans: Complete applications.
Assist clients opening Traditional IRA / Roth / Donor-Advised Funds
Annuities: Prepare applications and submissions.
Support compliance documentation.
Schedule monthly review meetings with existing insurance/investment clients.
4. Marketing & Relationship Management
Schedule marketing monthly posts.
Send email newsletters, birthday messages, referral cards, holiday gifts.
